CATERING POLICIES
FOLLOWING THESE TIPS WILL HELP MAKE YOUR EVENT A SUCCESS.

 

Booking and Arrangements

Rooms must be requested prior to making arrangements for catering. Equipment and Audio/Visual needs must be booked when making room reservations. This can be done by contacting:

To avoid miscommunication, we request that one person authorize and organize the event.

University Catering must order supplies and schedule personnel for all special events therefore a final guest count will be accepted by the coordinator according to the following schedule:

By 12:00 noon Thursday for a Monday event
By 12:00 noon Friday for a Tuesday event
By 5:00 P.M. Friday for a Wednesday event
By 5:00 P.M. Monday for a Thursday event
By 5:00 P.M. Tuesday for a Friday event
By 5:00 P.M. Wednesday for a Saturday event

The guarantee received at the time listed above will be the final guarantee and the party will be responsible for at least 95% of that number. Increasing the guest count within 24 hours of the event will be charged at 100% of the new count.

Only Food and Beverage prepared by University Catering will be served in the Dining and Meeting rooms of the Student Center. Food or Refreshments may not be brought into any event in the Student Center.

For registered SFA student organization events, only the President or Advisor may make the reservation.

University Catering will require a written confirmation for all events to guarantee accuracy, timeliness, and selection.

Late Reservations
A late reservation charge may be assessed for any orders taken with less than 48 hours notice.

Menu Changes
Any menu changes, if needed, must be given to the catering office three (3) days prior to the event.

University Catering may require a 75% deposit for confirmation two weeks before the event for all non-University events. The final balance due upon receipt of the final bill.

A minimum charge of $25.00 will be required for all on-campus orders. If your order is less then the minimum, you have the option of picking up the order. You will be responsible for returning any catering equipment issued with the pick-up orders.

A delivery charge will be added to all orders on or off the University campus.

Decorating
Decorating needs are available from the Special Services Manager. Assistance and use of decorations will be dependent upon the time of the activity, the facility, number of people, and specific needs of the reserving party. Table decorations are usually available for events under 200. There is no charge, but the reserving party is responsible for safekeeping. If a reserving party decorates for the event, all decorations and equipment not to be destroyed must be removed immediately following the event. No tape, adhesive, tacks, staples or any other mechanical devises may be used to attach decorations to any part of fixtures of the University Center.

Guarantees

In the event that we do not receive a guaranteed number, your estimate becomes your guarantee. You will be charged according to your guarantee or actual attendance, whichever is greater.

Special Charges

Additional charges may be required for equipment, linen, and skirting which would be considered above and beyond the normal amount issued for your event. You will be charged for linen used on non-food tables.

University Catering offers serving hours from 7:00 am until 7:30 pm. Any event scheduled to be served, or serving time delayed after 7:30pm, will necessitate a 10% service charge, and in some cases, a labor charge.

University Catering does not offer service during University semester breaks, or on Sundays. Exceptions must be approved by the Food Service Director, and an extra charge may be added.

A charge will be added to any wedding reception that chooses to use an outside wedding cake decorator, with a $50.00 minimum. This charge is for use of our service-ware, personnel, and clean up. This is the only exception for bringing food to the Student Center. Large groups will be required to pay based on per person charge at food service discretion.

A 20% service charge is applicable for events that warrant culinary service. (i.e. display cooking)

Billing

University policy mandates that all catered events have an approval signature on the special event form before the event can be confirmed. Any event not having the required billing information runs a risk of not being processed.

Liabilities

To insure an uninterrupted program, all service personnel will leave the room at the commencement of your scheduled program.

ARAMARK campus services at University Catering cannot be held liable for injuries, physical damage or medical liabilities while persons are using our services.

We recommend that any left over food items be returned to the food service. The State and Local Health Authorities do not recommend individuals handling quantities of food.

University Catering is not responsible for any articles left or lost in the building.
